If we know the purpose of each meeting we can then design the agenda and select the perfect cast of attendees to achieve the stated purpose.
Meetings should not be a lottery. We are committing our most perishable resource – the time of our people- to achieving something. We need to be clear on what we are going to achieve and what is expected of us all in that particular meeting.
Regular heartbeat meetings do not need to have a constantly changing agenda. It should remain fixed for as long as it is achieving the desired outcome.
If you find when writing the agenda that it contains any reporting/ reviewing requirements consider whether that can be done in a different way, either a memo, a report or a scoreboard.
I would also recommend the agenda is in writing and circulated in advance and that the purpose is also typed at the head of the agenda.
So the questions for this week are;
- Do your regular meetings all have an agenda specifically chosen to serve the purpose?
- Are all attendees necessary and relevant to the purpose?
