One of the main criticisms of meetings relates to meeting discipline. They are unstructured, unfocussed and go on too long. Expectations 1 and 2 will help with the first two of these and the third should be straightforward.
All meetings should be scheduled with a start time and an end time and someone must own the accountability of making sure the meeting starts and ends on time.
Typically when people start having meetings they run away with themselves, largely because there is a lot to talk about and people have not had a platform before. It isnt too much of a problem if you don’t get too deep into the topics at first. You know you will have another opportunity next week and the week after and so on.
Regular meetings, still need to be managed but when that is done well, they should get shorter, slicker and more on point with every repetition. If people are aware of the purpose and the agenda, we can expect them to come prepared and with the necessary information to serve the hand picked attendees well. Those who fail to do so need to be reminded that they are wasting the time and energy of all of their colleagues who are in attendance. Starting late, finishing late and being unprepared is incredibly disrespectful and damaging.
So the questions for this week are;
- What is your meeting discipline like on a scale of 0 to 10?
- What can you do to move that score up by 2 points?
- Do all meetings have a published start and an end time?
- Does the person in charge make sure we stick to them?
